About the role: 

Reporting to the Administration Manager WCD and the Allied Health Manager WCD, this role is responsible for the provision of confidential, efficient and comprehensive customer orientated frontline administrative support.

Duties for the role will include:

  • Processing all new referrals in line with SALHN and local policies, procedures and guidelines utilising the Patient Administration Service embedded in the EMR.
  • Adjusting appointments when clinics are cancelled and notifying patients of any changes. 
  • Effectively & efficiently processing telephone calls including bookings, cancellations, reappointments and other enquiries.
  • Welcome patients on arrival and providing relevant information regarding the appointment. 
  • Ensure appropriate allocation, preparation (including consent) and smooth transition of patients between student clinical teaching placements which occur at monthly intervals during the academic year. 
  • Use discretion and judgement to resolve problems or conflicts, to prevent patient complaints 
  • Assist with the implementation of standards, policies and procedures that apply to the Women’s & Children’s Division and that meet the needs of the Allied Health Service 
  • Providing a high-quality clerical service including typing, photocopying, filing, data management. This will require competency in MS Office software programs and other local IT software. 

About you:

  • Highly developed interpersonal skills with proven ability to communicate effectively and tactfully relate to the public, patients and staff.
  • Possess the desire, initiative and ability to work under limited supervision, and apply procedures in a practical manner.
  • Ability to resolve (or escalate as needed) problems, including patient complaints and manage small projects.
  • Ability to readily absorb new information and procedures and be proactive in implementing alternative methods of work.
  • Ability to effectively and appropriately manage workloads. This includes setting and managing task prioritization work when working in times of high demand.
  • Ability to work effectively and collaboratively as part of a team.
  • Experience in handling a wide range of clerical and administrative tasks including reception, filing, word processing and information management.
