About the role

The Administrative Officer provides confidential administrative support for Paediatric Outpatient Services, managing appointments, records, billing, and data accuracy. The Administrative Officer delivers high‑quality customer service and efficient clinic operations while supporting multidisciplinary staff to ensure optimal experiences for patients and families.

Key duties of the role

  • Maintain and prepare patient files/folders/notice boards for clinic appointments.
  • Screen, direct, and answer telephone enquiries, taking accurate messages.
  • Take responsibility for booking follow-up appointments, using sound knowledge and judgement to ensure efficient use of resources and convenience to customers.
  • Maintaining accurate patient data on the EMR and SRMS systems.

Skills and Experience

  • Experience in an administrative-type role.
  • Understanding patient rights and responsibilities and confidentiality.
  • Competency in Word processing, Excel, PowerPoint, e-mail, and Teams.
  • Ability to work autonomously and as part of a multi-disciplinary team.
  • Effective interpersonal and customer service skills.
