Administrative Services Officer - General & Gastrointestinal Surgery | Flinders Medical Centre

About the role: 

Reporting to the Administration Manager, this role is responsible for providing a communication link within the Unit, for the Unit within the Division, Flinders Medical Centre, Flinders University and patients and with outside agencies and health professionals. The position provides an administrative and secretarial support service to medical staff within the clinical unit.

Duties for the role will include:

  • Provide a high level of administrative clerical support to the Unit by maintaining up to date filing systems, attending to facsimile communications, maintenance and repairs to office equipment, mail opening and distribution,
  • Provide a proficient communication link for the Unit.  This will occur when accurate and timely information is received and dispatched between Unit staff and other Units, Departments or institutions,
  • Apply analysis to activities by way of making improvements to information flow, productivity and clerical functions,
  • Arrange Medical Staff appointments and Registrars’ rotations in conjunction with Human resources and Trainee Medical Officer (TMO) Unit

About you:

  • High level of typing skills 50-60 words per minute, ability to perform high quality, accurate data entry and be proficient in keyboard skills,
  • Ability to respond to a diverse range of people in a courteous, helpful manner under a variety of conditions, e.g. heavy workload, aggressive clients, with the ability to maintain confidentiality in dealing with sensitive and personal details,
  • Advanced experience in the use of computers and software applications including word processing and email,
  • Previous experience in the provision of a confidential secretarial, typing and reception service,
  • Experience in customer service role and in general administrative activities
