The Executive Assistant is accountable for the provision of high quality, confidential, organisational and information management support and advice to the Executive Director, Critical Operational Services,

The incumbent is also responsible for building and maintaining effective internal and external relationships ensuring the provision of timely, concise, and accurate services to the Executive Director including identifying, monitoring, and attending to priority and urgent enquiries to ensure resolution and quality control of responses. This includes providing effective, efficient, and confidential administrative services, preparing correspondence and briefs, e-mail, diary, and records management.

Key Responsibilities:

  • Provide comprehensive executive support including proactive diary management, email coordination, and strategic governance monitoring for the Executive Director
  • Coordinate and oversee meeting administration from venue booking and attendee management to minute-taking and action item follow-up
  • Manage confidential office operations including timesheet processing, filing systems, and travel coordination for executive staff
  • Support strategic business operations through implementation of divisional plans, project coordination, and performance indicator tracking
  • Handle all communications with internal and external stakeholders while maintaining confidentiality and corporate standards
  • Process financial transactions including invoice authorisation, credit card reconciliations, and procurement requests through corporate systems
